Rebuilding the authorization concept
Analysis and reporting tool for SAP SuccessFactors ensures order and overview
Personally, I'm a big fan of the role-based authorizations in SAP SuccessFactors and I'm glad the system has such extensive capabilities. To review your need for action in this area, I advise you to ask yourself the following questions: Do you know which users get which SAP authorizations and why? Can you explain the concept to your data protection officer? Is it easy for you to introduce a new process because you know how the authorizations work? If you have to answer "no" here (several times), I recommend you to dedicate yourself to the topic. It will make their lives easier in the future. Transactions: Transactions in the audit structure start the necessary evaluations for the audit. You can recognise transactions by the clock symbol ( ). Double-clicking on the icon opens the transaction in a new window and allows you to start the evaluation. In addition, the SAIS transaction log entries for this audit activity are displayed in the upper right pane of the display. These include the current date of execution, the verifier's user ID, a check status that you assign yourself, a weighting, and a justification for the check status that you also enter into a text box. Below is an overview of the audit activities performed so far, also with a time stamp, the user ID of the verifier, the weighting of the status of the audit activity and a justification. In order not to manipulate the scanning activities, it is not possible to modify data stored once.

Every action of the emergency user must be traceable, which requires the appropriate configuration of logging components such as the Security Audit Log. After the event, all log files are always evaluated and all details are recorded in documentation. It is also possible to specify in the concept that, in the event of an emergency, extended authorization may be granted to other selected users; this is up to the company to decide.

Sometimes implementation consultants are also confronted with the situation that no authorization concept exists at all. This happens, for example, when changes in SAP SuccessFactors responsibilities occur on the customer side or different implementation partners were active in the past. However, a missing concept can lead to errors in the system. Users cannot perform certain actions, or worse, people see sensitive data that they should not see. This can, in the worst case, constitute a DSGVO violation and lead to a fine for the company.

The possibility of assigning authorizations during the go-live can be additionally secured by using "Shortcut for SAP systems".
